Frequently asked questions
- How do I start a close?
- Use the period switcher in the left sidebar to pick a month and year, then click Go. The Reconcile page shows every balance-sheet line: work down it, set a status and write what the balance is.
- What does "Lock period" do?
- It takes a snapshot of every balance at that moment: your line in the sand. From then on, Postlock compares Xero's live balance sheet against that snapshot on a schedule, and flags anything that moves.
- Why does a locked period show a change I didn't make?
- The balance sheet is cumulative: a backdated entry into any month moves every period after it. Postlock catches this and shows it as an inherited change. Fix it at source in Xero and all affected periods clear.
- What is "institutional memory"?
- The note you write about what a balance is: the deposit, the accrual basis, the one-off item. Written once on the Reconcile page, it carries forward every month automatically and prints in the Excel pack.
- How do supporting schedules work?
- Open a line on the Schedules page and choose a type: Movement (opening + additions − releases = closing), Proof (a list that ties to the GL), or Static (an expected value that flags if it drifts). They roll forward each month on their own.
- How do I get the Excel pack?
- From the sidebar, click Excel pack. Click Download. Postlock builds a fresh workbook from Xero data. It includes a cover, balance sheet, rec index, schedules and a post-lock change log.
- Who can see what?
- Admins see and do everything. Reviewers can reconcile and lock. Preparers can reconcile and submit for review. Viewers can read but not change anything. Your admin can change roles on the Team & settings page.
- Can Postlock change anything in my Xero?
- No: never. Postlock connects read-only and has no write scopes. It is technically incapable of posting, editing or deleting anything in your Xero ledger.
- My Xero connection stopped working. What do I do?
- Go to the dashboard and reconnect Xero. Tokens expire after 30 minutes of inactivity; reconnecting takes a few seconds. If problems persist, disconnect and reconnect.
