Terms of service.

The agreement between you and Postlock when you use the service.

Last updated: 28 June 2026. Postlock is operated by James Howard, trading as Postlock (“Postlock”, “we”, “us”). This is the current policy; we’ll post the date of any future change here.

1. Who we are & these terms

Postlock is operated by James Howard, trading as Postlock. By creating an account or using Postlock (the “Service”) you agree to these terms. If you’re agreeing on behalf of a business or accountancy practice, you confirm you’re authorised to bind that organisation.

2. What the Service does

Postlock connects to Xero with read-only access to help you reconcile, lock and review your month-end, detect changes made to closed periods, and produce an Excel reconciliation pack. Postlock never writes to, edits or deletes anything in your Xero ledger - it is technically incapable of doing so.

3. Your account

You must give accurate registration details and keep your password secure. You’re responsible for activity under your account and for the users you invite. Tell us promptly of any unauthorised access (see your account page to sign out other devices).

4. Your responsibilities

You’re responsible for the accuracy of your underlying records in Xero and for any decisions you make using Postlock’s output. Postlock is a tool that assists a qualified preparer - it is not accounting, audit, tax or financial advice and does not replace professional judgement. You must check Postlock’s output before relying on it.

5. Acceptable use

Don’t misuse the Service: no attempting to break security or access another customer’s data, no automated scraping beyond normal use, no unlawful content, and no connecting an organisation you aren’t authorised to access. We may suspend accounts that put the Service or other customers at risk.

6. Your data & ownership

You (or your customers) own your data. We claim no ownership of your financial information, notes or uploads. We process it only to provide the Service, as described in our Privacy Policy. Where we act as a data processor for your business, our Data Processing terms apply.

7. Fees

Where the Service is paid, fees, billing cycle and any trial are shown at sign-up. Subscriptions renew until cancelled; you can cancel anytime and retain access to the end of the paid period. During early access some features may be free or discounted.

8. Availability & early access

Postlock is in active development and provided “as is” and “as available”. We aim for high availability but don’t guarantee uninterrupted service, and we may change or withdraw features with reasonable notice.

9. Liability

Nothing in these terms limits liability that can’t be limited by law (e.g. death or personal injury caused by negligence, or fraud). Subject to that, Postlock isn’t liable for indirect or consequential loss, or for loss arising from your reliance on output you didn’t independently verify, and our total liability in any 12-month period is limited to the fees you paid us in that period (or £100 if the Service was free).

10. Termination

You can stop using Postlock and delete your account at any time from your account settings. We may suspend or end access for serious or repeated breach of these terms. On deletion we remove your data as set out in the Privacy Policy.

11. Governing law

These terms are governed by the laws of England and Wales, and disputes are subject to the courts of England and Wales.

12. Changes

We may update these terms; we’ll post the new date here and, for material changes, give reasonable notice. Continued use means you accept the updated terms.
