How to reconcile the VAT control account in Xero

VAT is one of the balance-sheet lines people get wrong most often, because it moves with every return. Here’s how to reconcile it cleanly in Xero.

What the balance should be

The VAT control account holds what you owe HMRC (or are owed) at a point in time. Straight after you file and pay a return, it should clear back towards nil for that period. Between filings it builds up as output VAT on sales less input VAT on purchases. So at month-end the balance should equal the VAT on transactions since your last filed return - no more, no less.

How to reconcile it

  • Tie to the return. Run Xero’s VAT return for the period and check the control account movement agrees to the boxes on the return.
  • Check the unfiled/late claims. Xero’s VAT return picks up late claims from prior periods - make sure the control account reflects them and you’re not double-counting.
  • Reconcile the payment. When you pay HMRC, the payment should clear the filed liability out of the control account. If an old balance is sitting there, a payment or the filing wasn’t matched properly.

When the VAT balance won’t clear

The usual causes: a manual journal posted straight to the VAT account, a transaction with the wrong tax rate, a payment coded to the wrong account instead of clearing the liability, or a return filed in Xero but the payment not recorded. Work from the size of the leftover balance - it usually points at the transaction. This is a classic line to carry a written note on, so next month you’re not re-deriving it. What should the VAT control account balance be at month-end?
